Leading US law firm has created the brand new role of Administrative Assistant to provide organisational, administrative and legal secretarial support to the Legal Secretarial team, Partners and fee earners of the London office – ideally looking for a recent college leaver with CILEx and good academics or someone undertaking a similar role and wanting to join one of the best law firms in the world with a salary up to £23,000.

Duties include:

 

  • Diary management
  • E-mail management
  • Hard copy filing, efiling, scanning and photocopying of correspondence and documents
  • Time entry and expense report preparation in line with firm policy
  • National and International travel arrangements and the related sourcing and booking of hotels and transport, preparation of itineraries
  • Preparation of basic correspondence
  • Screening all telephone calls as appropriate, management of received communications
  • Efficiently managing own workload; be proactive with the ability to work on own initiative
  • Proof reading and quality checks on all work produced
  • Building good working relationships with all personnel and other third parties to effectively coordinate department work and resolve queries quickly and accurately
  • Establishing and maintaining administrative systems that help support the team
  • Establishing own information systems
  • Proactively providing assistance to all those in contact with the management team
  • To attend all in-house training in order to maintain a high level of expertise.
  • To provide cover for other members of the team in the event of absence.

 

Criteria:

 

  • Working knowledge of Outlook, Word, PowerPoint, Excel, Adobe although training will be given.
  • Excellent organisational and administrative skills.
  • Strong written, interpersonal and verbal skills.
  • Attentive to detail.
  • 60 wpm typing skills.
  • Ability to prioritise and juggle tasks and remain calm when working under pressure.
  • Excellent attention to detail
  • Positive attitude with a practical, common-sense approach; resilient.
  • Strong willingness to support the team and be proactive and flexible in doing so.
  • Confident with excellent communication skills, ability to relate to people at all levels.

 

This role is to work the hours 9:30am to 5:30pm and Monday to Friday in the office.
