Legal Receptionist – International Law Firm – Overtime + Benefits

A leading international law firm is looking to hire to a new Legal Receptionist to join a fantastic team on a permanent basis in their London office. The Legal Receptionist is to work 37.5 hours a week, with working hours being 9:30am to 6pm. This firm has a well-established global presence and an amazing culture with excellent benefits.

The Role:

To work on the firm’s Reception and Switchboard providing a smooth-running service for the front of house function. To provide back-up assistance to the Conference Services Assistant and General Office Staff.

Duties as a Legal Receptionist:

  • Meet and greet staff, clients and visitors, ensuring they are dealt with in a professional and helpful manner.
  • Thorough daily checks of the reception area and conference rooms, ensuring high standards are maintained.
  • Answering telephone enquiries promptly, in a helpful and courteous manner and forwarding them as necessary.
  • Ensuring conference rooms and required catering and materials are ready for meetings and clearing them afterwards.
  • Ordering taxis as required, maintaining accurate log of each booking, including file numbers.
  • Receiving deliveries, signing and checking where necessary.
  • Arranging dispatch / collection couriered items and maintaining a log of bookings made as required.
  • Answering queries from firm offices on admin / reception issues.
  • Arranging catering for in-house breakfasts / lunches / dinners / ad-hoc events and seminars including liaison with relevant external suppliers.
  • Preparing offices for visiting lawyers.
  • Coordinating professional photography for biographies and intranet.

  • Ability to establish and maintain excellent working relationships.
  • Ability to prioritise workload and work under pressure.

Personal Requirements:

  • Previous Front of House / Receptionist experience gained from a law firm or professional services firm.
  • Conducts and presents self in both a professional manner and appearance.
  • Constantly strives to provide first class customer service.
  • Portrays a positive image of the firm and speaks positively about the office and staff at all times.
  • Flexible in terms of hours worked, tasks undertaken and adapting to changes in work processes and functions.
