General Office / Facilities Supervisor

An excellent opportunity for an experienced General Office / Facilities Supervisor to join a prestigious UK law firm on a permanent basis.

In this role, you will be based in the London office and will be responsible for supervising the daily functions of the Office Services department, including facilities, health and safety, mail room and reprographics supervising a team of 4.

General Office / Facilities Supervisor key Responsibilities:

  • Managing the General Office team of 4 in addition to the wider client services team
  • Coordinate and oversee repairs, maintenance, and service contracts for building systems and equipment and arranging for specialist maintenance as required
  • Monitor and enforce health & safety standards in accordance with UK regulations and conduct regular safety inspections and identify potential hazards
  • Complete Fire / Health & Safety Risk Assessments and attend landlord / tenant meetings
  • Managing reprographics, binding, mail and food delivery, mail processing, courier services and copy functions
  • Coordinate shift activities, workflow, and daily functions of the team to always ensure consistent coverage
  • Monitor travel alerts and keep the office up to date on travel disruptions
  • Conduct Health & Safety/office tour orientations for new joiners
  • Oversee First Aiders and Fire Marshals, arranging training as required
  • Act as Head Fire Marshal for the London office

General Office / Facilities Supervisor key Skills & Requirements:

  • Minimum of 3 years’ experience as a Team Leader / Supervisor in Facilities / General Office Services in a law firm
  • Proven experience in reprographics (copy, scan and print requests, e-bibles, binding, and mail services) in a legal setting
  • Willingness to occasionally work outside of core hours to coordinate with vendors / oversee repairs or maintenance carried out outside standard office times
