Administrative Assistant – US Law Firm

We’re looking for a bright and organised Administrative Assistant who is passionate about building a long-term career within executive support at a major US law firm.  In this role, you’ll provide high level administrative assistance across events, pitching, marketing communications and CRM, providing a seamless service to lawyers, external clients and key stakeholders.

Administrative Assistant Key Responsibilities:

  • Prepare, format and proofread documents, presentations, reports and correspondence to a consistently high standard
  • Create and maintain files, spreadsheets, schedules and other administrative materials
  • Manage diaries, schedule meetings and coordinate room bookings
  • Arrange domestic and international travel and accommodation
  • Handle telephone, email and face-to-face enquiries professionally
  • Process expenses and invoices, liaising with vendors and the Accounts Payable team
  • Liaise with suppliers, contractors and global Business Development colleagues
  • Conduct research, gather data and provide ad hoc administrative support to the team as required

Administrative Assistant Skills & Requirements:

  • Previous administrative experience gained within a law firm or professional services environment
  • Strong academic background
  • Advanced IT skills, including Microsoft Outlook, Word, Excel, PowerPoint and Visio
  • Confident using online research tools and the internet to gather information
  • Excellent communication, interpersonal and customer service skills
  • Highly organised with exceptional attention to detail and the ability to manage competing priorities
